Honest about the limits of our guarantees

Our monitoring, security and backups work at full strength wherever our recommendations are accepted. We advise replacing a failing router or taking admin rights away from users — and you decide to wait? That's your right: the hardware, the budget and the decision are yours. But then an honest note appears in the Tech Passport — "risk accepted by the client" — and everyone can see where our responsibility ends and your decision begins. Anyone who "guarantees everything" regardless of the state of the hardware is, in fact, responsible for nothing.

Emergency email migration

A corporate Exchange 2013 had degraded to a critical state — delivery was failing, TLS was blocked by the firewall, there was no upgrade path, and it was the only channel for 44 mailboxes. We migrated the whole stack to a Dockerized Mailcow with a fixed TLS chain and full SPF/DKIM/DMARC, plus automatic daily, weekly and monthly backups.

Result: Mail-Tester 10/10, followed by ongoing managed maintenance.

A cyberattack stopped

Their MikroTik router had been silently abused as a DNS-amplification node in a DDoS for ten days — around 1,550 packets per second, roughly a terabyte of traffic, and no one knew. We audited RouterOS and closed the vector with targeted firewall hardening.

Result: the router's CPU load dropped from 53% to 5% — the attack stopped, and the network is now under continuous monitoring.

Your personal price list. The figures on the site are base rates: your personal price list is fixed in the contract, and it's always in front of you in your dashboard. Once a year we review it against real statistics — how many requests, how much of our work, how fast we responded — so you can see what you're paying for in numbers, not words. The review goes both ways: fewer problems is grounds to pay less. We also factor in the market: the state of the IT-services market and the economic situation — the global and Polish ones for base prices. You'll sign the contract and the non-disclosure agreement (NDA) online right in the dashboard (launching soon) — no paperwork or scans. A unit is a computer, laptop or point-of-sale; a server is each separate system: the physical host and each virtual machine count separately (a host with two VMs = three servers). A single location's network — the router, access points and switches together — is served as its own line item but does not count toward the minimum. Retainer starts from 3 units: computers, point-of-sale and servers are counted.

All prices are net; VAT by jurisdiction: Poland (sole proprietorship, JDG) +VAT 23%, Ukraine (sole proprietor) without VAT, the EU — reverse charge; outside the EU — no VAT applies.

The price is fixed in euros; amounts in other currencies are indicative, at the official central-bank rates. The actual invoice amount is at the rate on the day it is issued.

Prices are not a public offer; for clients with active contracts, the contract terms apply until the scheduled review.

What is IT outsourcing, in plain words?

It's when you hand over everything to do with computers, servers and security to an external team for a fixed monthly fee — instead of keeping your own IT employee. Simply put — everything so the technology just works and you don't have to think about it.

How much does IT support cost?

A computer or point-of-sale — €30/mo, a server — from €60/mo: an office of 25 computers with a network and a server ≈ €830/mo, everything included. Without a retainer — €60/hour. We'll work out the exact figure for your fleet free of charge after the audit. For comparison: a single day of downtime or a ransomware attack costs more than a year of support.

Will there be VAT on my invoice?

Depends on your business's country: Ukraine — invoice from our Ukrainian sole proprietor, without VAT; Poland — invoice from our Polish JDG, +23% VAT; other EU countries — we don't charge VAT, you self-declare it in your own country (reverse charge); outside the EU — no VAT applies. All prices on the site are net, and the amount agreed with you doesn't change: VAT, where due, is added on top of the invoice. If you're in Ukraine but your accounting needs specifically a Polish invoice with VAT 23% — that's possible: let us know in advance, and check with your accountant first whether it makes sense.

Why does my price differ from the prices on the site — and won't you quietly raise it?

The prices on the site are base guidelines, not an offer. Your personal price is fixed in the contract and always visible in your dashboard — it can't be changed on the quiet. Once a year we review it against real statistics: how many requests, how much time, which incidents, how fast the response — and also against the state of the IT-services market and the economy: the global and Polish ones for base prices. And we review it both ways: fewer problems is grounds to pay less.

Why a team instead of your own system administrator?

Because one person cannot know servers, networks and security equally well — a team can, and it is on call around the clock with no gaps for vacations, sick leave or someone quitting. You get senior-level breadth and continuity instead of a single point of failure.

How quickly do you respond when something breaks?

Systems are monitored around the clock, so we often fix critical failures before you even notice them. Monitoring catches a failure within minutes, and an engineer's first response is within 30 minutes during business hours (Mon–Sat, 7:00–19:00 Central European Time (8:00–20:00 Kyiv)), and within 2 hours outside them. Target response times are set in the contract.

And what if you don't respond in time yourselves?

Then we compensate with time. If through our own fault we exceed the agreed target for the first response to a critical incident, we add one hour of engineering work over and above your retainer — on a task of your choice. This is the sole and sufficient remedy for the response-time metric; it does not apply when the cause is not ours — force majeure, a provider outage, or a "risk accepted by the client" logged in the Tech Passport. What happens to our data if a server fails or ransomware strikes?

Your data is protected by backups following the "3 copies, 2 different media, 1 off-site" principle. We regularly verify that everything really does restore from these copies, so even after a serious failure the business is quickly back at work.

What if you disappear, or we get stuck with you?

Your entire infrastructure is documented in the Tech Passport, and the keys and access credentials are in your own vault. Any engineer can pick up where we left off. We work under a contract, with real registration details and address, on a monthly basis — with no multi-year lock-ins. If you want to leave, we part ways — the documentation and keys stay with you. When we go our separate ways, we hand everything over straight away, regardless of any outstanding balance: access credentials, documentation and copies of your data. We keep our own working copies for another 30 days in case something is needed during the transition, then delete them irreversibly and confirm it in writing. You own your IT — you're not a contractor's hostage.

Is it safe to give you access to all our systems?

We're the ones you hire to protect you. We work on the principle of least privilege, every action goes into a log, passwords live in an encrypted vault, and we sign a non-disclosure agreement (NDA) with every client on request, at no extra charge. The Tech Passport shows who did what, and when. That's safer than trusting one person on their word.

And what if you get breached yourselves?

A fair question to ask any provider — and the honest answer is that we hold ourselves to the same rules we sell you. Access to your systems follows the principle of least privilege, every action goes into a log, and passwords and keys live in an encrypted vault — not in email or spreadsheets. Your backups sit encrypted in two independent clouds, separate from our working tools, so even a compromise on our side can't quietly destroy or read them. We sign a non-disclosure agreement (NDA), and we don't hush up an incident that affects you — we'll say so plainly and immediately rotate the affected access. We don't promise an absolute "no one will ever breach us" — we promise to build everything so that an attacker's success costs dearly and the consequences for you are minimal.

I don't want to replace the old router, and I want everyone to have admin rights. Is that a problem?

Not a problem — it's your right: the hardware, the budget and the decision are yours. We'll tell you honestly what it puts at risk and propose a solution. If you decide to wait — the system stays under monitoring, and an honest note appears in the Tech Passport, "risk accepted by the client", with a date: everyone can see where our responsibility ends and your decision begins. Change your mind — we implement it, and the note disappears. Anyone who "guarantees everything" regardless of the state of the hardware is, in fact, responsible for nothing.
